About the Role
The Grants Associate will support the end-to-end grants management process, including proposal development, donor reporting, grant documentation, compliance, budgeting and coordination with programme and finance teams. The role requires strong written communication, attention to detail and the ability to work across multiple teams and stakeholders.
Key Responsibilities
- Proposal & Documentation: Support the preparation of proposals, concept notes, MoUs, annual action plans and project budgets.
- Donor Reporting: Assist in preparing narrative, quantitative, financial and utilisation reports in line with donor requirements and reporting timelines.
- Cross-functional Coordination: Coordinate with programme, support and finance teams to collect accurate programme, outcome and financial information.
- Grant Management: Maintain comprehensive grant records, including agreements, amendments, correspondence and reporting documentation.
- Compliance: Support grant modifications, extensions, amendments, donor compliance, audits and internal reviews.
- Donor Engagement: Support the planning and coordination of donor visits, including agendas, presentations and follow-up documentation.
- MIS & Tracking: Maintain the grants database and tracking systems and prepare monthly MIS reports and work plans.
- External Communication: Draft and circulate official correspondence with donors and other stakeholders.
- Opportunity Identification: Identify relevant awards, recognitions and fellowship opportunities and coordinate applications.
- Field Exposure: Undertake field visits when required to strengthen programme understanding and support reporting.

Required Qualifications
- Postgraduate degree in Social Work, Development Studies, Public Administration, Management, Finance, Economics or a related field. Graduates with relevant experience may also be considered.
- 2–5 years of relevant experience in grants management, donor reporting, proposal development or programme coordination.
- Experience in a non-profit, development, academic or research organisation preferred.
- Understanding of grant cycles, donor compliance, budgeting and utilisation reporting.
- Strong written communication skills in English.
- Good working knowledge of MS Word, Excel, PowerPoint and MIS/database systems.
- Ability to coordinate effectively with multiple teams and stakeholders.
- Willingness to undertake field travel as required.
