Main purpose of job:

The Corporate Services team at the British Deputy High Commission Bengaluru supports the effective running of the Post by providing estates, facilities, health and safety, compliance, IT coordination, finance administration, transport, front office, residence and event support services. The Corporate Services Assistant will provide routine administrative support to help the team maintain accurate records, complete follow-up actions, and deliver services smoothly and consistently.

The Corporate Services Assistant provides administrative and operational support to the Corporate Services team, with a primary focus on Estates, Health & Safety, Compliance, and related administration. The role supports the maintenance of records, trackers, documentation, and routine follow-up actions to ensure Corporate Services functions operate efficiently and remain compliant with FCDO policies and local requirements.

The jobholder will provide administrative support across Estates, IT, Security, Finance, Transport, Front Office, and Residence/Event functions, assisting colleagues with routine processes and ensuring accurate record-keeping and timely follow-up of actions.

Roles and responsibilities / what will the jobholder be expected to achieve:

Estates, Health & Safety, Compliance and IT Administration (55%)

  • Maintain and update estates compliance records, statutory inspection logs, and Health & Safety documentation.
  • Support the administration of estates-related contracts, contractor records, service reports, and maintenance documentation.
  • Maintain asset registers, property records, inventory lists, and maintenance trackers.
  • Track and follow up on routine maintenance requests and remedial actions, escalating overdue items where appropriate.
  • Management of office storeroom and its related inventory including float items.
  • Support workplace Health & Safety administration, including risk assessment records, incident logs, inspections, action trackers, and compliance documentation.
  • Maintain filing systems for estates, accommodation, compliance, and facilities management records.
  • Assist with the coordination of contractor visits and ensure supporting documentation is recorded and filed appropriately.
  • Support IT administration by maintaining equipment inventories, handover records, user allocation logs, and associated documentation.
  • Produce routine reports and tracker updates for Corporate Services management as required.
  • Contractor supervision as and when required.


Security, Finance, Transport and Front Office Administration (30%)

  • Support reception and front office administration, including visitor management records and routine enquiries.
  • Manage the BDHC Bengaluru mailbox, directing enquiries and responding to routine requests as required.
  • Assist with procurement administration by collating documentation, maintaining trackers, and following up on routine actions.
  • Support on stationery and IT procurement.
  • Support invoice and payment administration by maintaining records and payment trackers.
  • Maintain transport administration records, vehicle utilization trackers, and booking logs.
  • Support airport pass applications, maintaining records and tracking progress.
  • Assist with protocol-related administrative documentation, including diplomatic imports and customs-related paperwork.
  • Maintain organized filing systems and records for Security, Finance, and Transport activities.

Residence, Events and Hospitality Administration (15%)

  • Assist with administrative preparations for official events, including guest lists, RSVP monitoring, stationery requirements, and event trackers.
  • Maintain hospitality inventory records and support routine stock checks.
  • Assist with residence procurement documentation and vendor follow-up.
  • Provide administrative support for official visits, hospitality activities, and residence-related requirements.
  • Support event administration during periods of EA absence or increased operational demand.

The FCDO operates an agile workforce. The jobholder may be required to undertake other reasonable duties from time to time in support of Corporate Services priorities.

Language requirements

Good working knowledge of English.
Knowledge of Kannada or other local languages is desirable.

Essential qualifications, skills and experience  

Essential on Arrival:

  • Minimum graduate qualification from a recognized university or institution.
  • Two to three years of work experience in an administrative capacity, preferably in corporate services, facilities, estates, office administration, customer service or operational support environment
  • Strong administrative and organizational skills with the ability to maintain accurate records and trackers.
  • Good attention to detail and ability to work accurately with routine documentation.
  • Ability to prioritize and manage multiple administrative tasks.
  • Good written and verbal communication skills.
  • Ability to build effective working relationships with colleagues, contractors, suppliers, and visitors.
  • Experience using Microsoft Office applications, including Outlook, Word, Excel, and Teams.
  • Ability to follow established procedures and work with minimal supervision on routine tasks.
  • Flexible, customer-focused, and willing to support a range of Corporate Services activities.

Other benefits and conditions of employment  

For British High Commission candidates, the Country Based Staff BHC Terms & Conditions will apply.

For other than BHC Candidates, salary will be all-inclusive of INR 43,768 per month plus 12% Provident Fund and 6% Special Allowance.

Additionally, the BHC offers a great benefits package that includes annual domiciliary medical cover, plus a Group Hospitalisation Scheme with INR 500,000 floater cover for your immediate family which includes self, spouse/partner and children up to an age of 25 years and irrespective of age, only if with, physical or mental disability.

No relocation or any other related costs or assistance will be provided. FCDO does not pay for any travelling, accommodation & relocation expenses incurred and/or accept any financial risk, including cancellation or reschedule costs

Please note - BHC does not deduct tax at source and employees are required to ensure that any requirements of local income-tax law are complied with in full. Employees who are not liable to pay local income tax on their Mission salary, e.g., some non-local national staff and some spouses or partners of UK diplomatic staff, will have their salaries abated by an equivalent amount.
